How to Edit a Data Management Configuration

About Data Management

  • Data Management in Administration module handles data loads into the system and data extracts from the system. The job configuration is created in data management module. The job configuration life cycle is same as we follow in the rest of the modules in Procella. When you create a Job, the job will be in Draft status. Jobs in draft status can be edited. Draft jobs can be activated. Only the activated jobs will run per the schedule in the configuration. If the jobs are not required to run anymore, you can inactivate the jobs.
  • Unlike other modules in Procella which follows Point in Time Architecture, Data Management is different. Only one version of the DM Job configuration can be active at a time.

How to Edit an Active Job Configuration in Data Management

  • Active Job configurations can be edited. When you edit it, a draft version of the job configuration is created. User can make changes in this draft version and activate it.
  • As mentioned before there can be ONLY one active version of a DM job configuration. So when you want to edit an Active Job configuration, current active version effective date has to be ended and a new version has to be created.
  • For example - Lets say we have a claims extract with the below configuration. (Say) You want to add/change the Group in the configuration OR you want to change the schedule in the configuration then you will have to do the following steps
    • Step 1 : Update the Effective End date of the Job configuration using Change Effective Date option
    • Step 2 : Then take the effective end date modifed active version and Edit the job configuration.
    • Step 3 : Provide correct new effective start and end dates, make required changes and save the Draft version
    • Step 4 : Then Activate the new draft version


    Step 1 : Update the Effective End date of the Job configuration using Change Effective Date option


    Choose the Active Job you want to edit and Choose View Job Configuration option.



    In the View Job configuration screen, scroll to the bottom and click on Change Effective Date button. Note : Whenever you choose View Job Configuration option, you can edit notification emails and/or change effective end date. All the other fields in the job configuration will be disabled, you cannot make any changes in it.



    Change Effective Date pop up window will open. This shows the current effective start and end date of the Active version of the Job you selected.



    Now change the effective end date of the job as current day - 1, we are doing this because we do not want this job to be run in the existing configuration as you want to make updates in it. After editing the Effective end date, click on SAVE to save the changes.


    Note : You can give any date in the effective end date based on when you want this existing configuration job run to end. For eg., You can also select a future end date (if you want this configuration to be valid till Date X ). But please remember the effective end date given, because the effective start of the new version should be greater than this end date of the currrent active version



    As soon as you click on SAVE , the effective end date will be updated in the Active version


    Step 2 : Then take the effective end date modifed active version and Edit the job configuration.


    Now go back to the list screen to edit this Job Configuration. You can either select Data Management option from menu OR Click in the Navigation path





    Pick up the same Job configuration again from the list screen. Note : You may have to modify the Effective date in the search based on the date you have given in the effective end date in step 1




    Choose Edit Job Configuration option. The Edit Job configuration screen will open up. Now you can make ANY changes to the Job configuration.


    Step 3 : Provide correct new effective start and end dates, make required changes and save the Draft version


    The Effective dates change is important here, the dates cannot overlap within the different version of the Jobs. We updated the effective end date of old version as 05/31/2023 so the new version of the job should have a new date range that does not overlap with any old versions. So here, the effective start date is set as 06/01/2023 and if you do not want the job to be inactive anytime in future then provide forever date 12/31/9999 as effective end date


    Make other updates that you want to do in the Job configuration, here I have modified the Group , Plan , Run Time Settings and even the Notification email id. Note : In the top left corner , it shows as Draft. This means you are making the changes in Draft version.


    When you click on Save Draft and Reviewa draft version of this job configuration will be saved successfully.


    Whenever you edit a job configuration, a new version will be created. These version should NOT have overlapping effective start/end dates. So, If you did not modify the effective dates, you will see this error when clicking on Save Draft and Review button.



    Step 4 : Then Activate the new draft version

    As soon as you click on Save Draft and Review button, the changes will be successfully saved and now you will see Activate option




    In case, if you want to activate later after review. You can choose Cancel and exit out the screen. As the draft is already saved, You can take this Draft version anytime to activate. To open the Draft version, navigate to date management List screen.
    Choose the correct status and effective date and click on Search button


    This will open the Edit Job Configuration screen and you can make required changes and then click on Activate option. Once the Job is successfully activated, it will be scheduled to run as per the configuration provided. You can run the ad-hoc jobs as needed


    Note : You can modify a Active Job any number of times. The main condition is , none of the versions should have overlapping effective start/end dates.
