In Procella system, there are two ways on how you can export Plan Rules into an Excel file

  1. From Rules Dashboard
  2. From Data Management

From Rules Dashboard

Refer to this article to read about Rules Dashboard view/filtering options

In the rules dashboard, users can export the plan rules that are currently being viewed. Only one plan rules can be exported at a time.

The export/download option is available in the filter bar

Once you click on the Export, the data will be exported in a Excel file.

Users can always change the filter parameters and export the data as needed (For eg., Exporting rules of Plan default only, or Exporting plan rules that are in Active status in Active Benefit Assignment Group or exporting the plan rules for a past effective date etc). Basically, the data that is in the Rules Dashboard screen will be exported in the excel file

Note: If the data file exceeds 5MB size, then the file will not be downloaded. An appropriate message will be displayed to the User. In this case, the user should use Data Management module to export the large file. Follow the below steps to configure job and extract the required file.

From Data Management

In Data Management, we can schedule the data file export. User need to configure a Rules job to a schedule the plan rules export. This configuration allows the user to export multiple plan rules at a time. This method can be used when a user is required to export the Plan rules regularly for auditing purposes.

To schedule an export job, navigate to Administration -> Data Management

Click on the Add icon to create a new configuration

Once you click on Next button, the job configuration form will be displayed

Job Name - Name of the job for User's reference

Effective Start Date / Effective End Date - The dates where this job will remain active and run the extracts per schedule.

Description - Description of the configured job for User's reference

Job Criteria - 'Extraction' as this job is an extract job

Registration Code - This is a system generated code that will be displayed after activating the job

Data Client Output folder path - This is not currently available. This field will be used if we need to export the file to an external server

The options below in the job configuration decide which Plan rules will be extracted

Sponsor / Carrier / Account / Group / Plan - these fields are multi-select fields and are optional. For eg., in the above configuration NO plan is selected. This means all the plans associated with Group 'TAQAGroup03' will be exported during job run.

Similarly, if a Group is not selected, then all groups associated with the Account will be used. All the plans associated with the groups will exported.

Rule Status and BAG (Benefit Assignment Group) status - These options allow the user to select which rules are to be exported from Plan rules.

Note:

  • Each plan's rules are exported to a single file. For eg., if two plans are selected in the configuration, then there will be two output files in the Output file path
  • When there is a case where the same plan is associated with multiple groups, then the plan rules will be exported ONLY once.
  • If no plan is selected in the configuration, then all the plans associated with the selected group(s) will be exported. The advantage of this kind of setup is, that when you associate new plans to the group in the future (after creating this job configuration), those plan rules will be automatically exported during the scheduled run. Please note that 'group-plan' record should be Active to export the plan rules based on the selected group.

Run Time Settings - This is used to schedule the job run time. If scheduling is not needed and if the user wants to export plan rules only on a need basis, then the None option can be selected in Schedule Run Time

Job Executions

To view the job executions and to quickly access the exported files, select View Job Execution Details

The Job Stats screen will provide you with the exported file path and option to download (if is the file is less than 5MB)
