Medispan Weekly Drug File Download / Loading Process


This document provides step-by-step instructions for configuring and managing the process of downloading Medispan drug files to update the drug data in the system. 

There are two jobs involved 
  • Drug File Download - This job downloads the Medispan drug file
  • Drug Update - This job loads the downloaded drug file data into the system.
The job setup process is a one-time setup. Once job is configured, it will run per schedule to download and load the data into the system.
  1. Navigate to the super admin section.
  2. Click on "Data Management."


First configure the "Drug Update" job before configuring the "Drug File Download" job, because the drug update job's registration code has to be provided when configuring "Drug File Download". This links these two jobs, it moves the downloaded medispan file to the respective folder for the load job to pick up the file.

Registration Code is a unique code generated for a job when it is activated. 

Configuring Jobs

Drug Update Job Scheduling
  1. In the Data Management section, click the "+ Add" icon.
  2. Select "Job Type" as "Drug Update" and click "Next."
  3. Fill in the required information. Choose a proper scheduling frequency and time. Schedule the job to run after the 'Drug File Download' job so that file is downloaded and staged to be processed.

  1. In the Data Management section, click the "+ Add" icon.
  2. Select "Job Type" as "Drug File Download" and click "Next."
  3. Fill in the required information, including the Drug Load Registration Code. Enter the registration code of the drug update job where the Medi-span drug file will be automatically placed.
  4. Schedule the job to run before the Drug Update job , so that the file is downloaded, before "Drug Update" looks for the file.
  5. Save the draft and review.
  6. To activate the configuration, click the "Activate" button.
Editing Job Configuration

Sometimes there could be a need to modify the job scheduling. There is a process to update the existing active job. Please follow this documentation for more details How to Edit a Data Management Configuration

Automatic File Download Process
  • The file download process is automatic. The download has a logic to pick up the correct file. 
  • Normally the Medispan Drug Update file is available every week. Our system is aware of the last downloaded file. The file name has a date in it. 
  • With this information, the system is smart to pick up the latest file (picks the file with a date greater than the last downloaded file)
Viewing Downloaded File Information
  1. To check the status of job execution, click "View Job Execution Details." 
  2. Here, you will find details such as file names with weekly dates to be loaded.


. Verifying if the Downloaded file is Staged to Load
  1. Navigate to "Super admin" -> "Data Management."
  2. Choose the respective drug update job linked to the Drug File Download configuration.
  3. Select "View Input Files" to access downloaded file information. 
  4. The status of the downloaded file will be displayed as "STAGED." 

Note:

  • Just like any other jobs, these jobs can be manually triggered if required
  • Currently system supports the process to download the weekly update file from Medispan. There is no process to download/load drug comprehensive file via Data Management. But this can be still done by following the old process.
